Add your school name, logo, and billing timezone
Go to Settings and open the School Settings tab.
Under School Name, confirm your name or enter a new one and click Update. Your Page URL (used for your public landing page and embeddable schedule widgets) is generated from it.
Under Billing Timezone, choose your timezone. It determines which calendar day a membership is charged on.
Under School Logo, click Upload Logo and choose a PNG, JPEG, or WebP file. Your logo appears in the email communications Kmura sends on your behalf, on payment receipts, and on student-facing pages.
Under Academy Location, confirm your City, State/Province, and Country, then click Update Location. This helps traveling students find you through the Visitors Program.
Tip
A square logo works best. It is displayed in a small square on emails and receipts, so avoid wide banner-style files.

Share your student registration code
Scroll to Student Registration.
Your Registration Code and Registration URL are unique to your academy. Share either one with students so they can create their own student accounts.
Students can also scan the QR Code with their phone to register. Use the copy buttons to grab the code or link.
Tip
Print the QR code and post it at the front desk so new students can register while they wait for class.
Note
If you are switching from another platform, the Kmura team imports your existing students for you. This code is for new students going forward.

Turn on advanced check-in and the self-check-in kiosk
Scroll to Student Advanced Check-In and turn on Allow students to check in advance if you want students to check in from their portal before class. Their check-ins appear for confirmation on your Attendance page.
Scroll to Self-Check-In Kiosk and turn on Enable self-check-in kiosk to add a Self-Check-In button to the top of your Attendance page for a mat-side iPad.
Leave Require staff password to exit on so students cannot back out of the kiosk into your dashboard.
Set the Default late cut-off, Early check-in window, PIN length, and Return to kiosk after values to match how your classes run.
Note
Students identify themselves at the kiosk by PIN or by name. PINs are set per student on the **Student Information** page under **Details**. The guides **Student Self-Check-In** and **Student Remote Check-In** under Taking Attendance walk through both flows.

Build your waiver templates
Open the Waivers Settings tab and click New Template.
Choose Upload PDF to use an existing waiver PDF and add signature fields, or Build from Scratch to write one in the document editor.
Save the template. It then appears in your Waiver Templates list and can be sent to students and leads for e-signature.
Note

Choose a Standard Waiver (optional)
Scroll to Standard Waiver and pick one of your active templates from the dropdown.
New students are automatically required to sign the standard waiver when they create their student accounts.
If a student is marked present but has not signed it yet, they must sign it before their attendance can be completed.
Caution
Changing the standard waiver re-prompts every student, including those who signed an older version.

Set up your belt catalog and belt test requirements
Open the Curriculum Settings tab and scroll to Belt Catalog.
Switch between Adults and Kids to review the belts for each division. Click Add Belt to add one, drag to reorder, or use the edit and archive icons to rename or retire a belt.
Scroll to Belt Test Requirements, choose a Division, and click Initialize Default Belt Tests to pre-fill standard requirements, or click Set Up Requirements on any belt to define them yourself.

Add your programs, curriculum, and promotion logic
Under Programs, click Add Program to create each program you run (for example, Adults Gi or Kids). Each program shows how many students and classes are assigned to it.
Under Edit Curriculum, review the default Adult Curriculum and Children's Curriculum sections, then edit, reorder, or add sections and positions to match what you actually teach. Student progress is tracked against this curriculum.
Under Promotion Logic, click Configure Promotion Requirements to set the class attendance and time required for each stripe and belt.
Turn on Show promotion progress to students if you want students to see how close they are to their next promotion in their portal.

Create custom roles and invite your staff
Open the Roles & Permissions tab. The Built-in Roles (Owner, Instructor, and Student) always exist.
Click Create Role if you want a custom set of permissions, for example a front desk role that can take attendance and manage leads but cannot see revenue.
Scroll to Users and click Invite User. Enter the person's Email Address, choose a Role, optionally add their First name and Last name, and click Send Invitation.
The invitation appears under Pending Invitations until it is accepted, and instructors are added to your Instructors page.
